The biggest mistakes in a room booking system

If one of the following points applies to your solution or project, it should be critically examined

  • The solution is an isolated solution which is not or hardly integrated with other systems such as the Intranet or the Active Directory (company personnel directory)

  • The room management software has no or insufficient interfaces to adjoining systems (such as the Intranet)

  • Important information is missing in the room booking system (equipment features, seating options, catering etc.)

  • The software solution cannot be connected to Outlook

  • The occupancy plan is not up-to-date, or the reservation list cannot be maintained in an easy and efficient way

  • The reservation function is complex, and important attributes within the context of the reservation are missing

  • The master data is incomplete, because the system is not connected to the corporate directory

  • The solution does not include document management. User manuals or other assistance in the form of files cannot be stored

  • The room management system does not have an approval or notification function for facility management or in the canteen, for example

  • When the possible rooms are being reserved or selected, no parameters can be specified, such as the number of people, the seating options or the video conference equipment
